Athletics Teams Updates for New School Year

Blackbaud keeps separate IDs for each team for each season so when school years switch, you will need to publish the new teams in order for them to show on the website. In the sync process – if a team goes “missing” (i.e. last year) it is put in draft status. And if we find a new team, it is created in the backend but also kept in draft status (for review, approval and final details) We STRONGLY urge you not to create teams on the web site before creating them on Blackbaud. This will cause duplicates. If you need to delete a duplicate – you can tell it is a faux-team if the Blackbaud ID is missing in the edit view. Be sure that the “Publish to Web” option is checked in Blackbaud order for the team to connect to the website.

1. The first step in adding or deleting a team is to make the change on Blackbaud first.
2. Approximately once an hour, the web site will sync with Blackbaud and reflect those changes here.
3. A new team will show up with the same name as the team on Blackbaud.
4. A deleted team on Blackbaud will have its status on the web site changed to DRAFT. You can either leave it in DRAFT mode or send it to the trash.

Assign Images to Teams These “new” teams won’t have images assigned to them. Images are assigned to teams under Team Images (see Website Instructions: Blackbaud – Team Images) Go to your Teams on the backend and filter by school year. “Publish” all the new teams once you have assigned the images (check the boxes, click Bulk Edit > Apply and change status to Published). By re-associating the images to the teams – the pages will reappear. When rosters/schedules are uploaded/published to Blackbaud they will also show up on the team pages.
